The Consortium for School Networking (CoSN) seeks a creative and independent problem solver to assist with the association’s conference and events for the leading professional membership association for K-12 Chief Technology Officers. The Director is responsible for oversight and coordination of all meetings, including the Annual Conference, regional CTO meetings and other events throughout the year. Duties include organizing, planning and executing these events.
Primary Responsibilities
Responsible for managing the events process for CoSN, including contract negotiations, vendor management, expense monitoring and budgeting, record keeping, on-site management, staff and volunteer coordination.
Position Responsibilities
Establishes and implements a conference timeline with clear deadlines and oversees overall execution of the plan.
Manages and oversees on-site coordination of Annual Conference, including serving as key liaison with hotel staff, CoSN staff and volunteers.
Manages all external vendor relationships including contract negotiations with hotels, venues, keynote speakers and other vendors.
Facilitates all logistics including accommodations for participants and speakers; event space requirements; food and beverage needs; signage, marketing and printing; attending to any special needs; and security.
Oversees communications with speakers and manages overall logistics such as issuing confirmation letters.
Oversees all aspects of pre- and post-conference events.
Develops, coordinates, and monitors CoSN website content.
Oversees on-line registration process.
Provides input for the development of collateral materials, including print and online marketing, onsite program
Provides follow up after events, including thank you letters, committee debrief, dissemination of attendee evaluations, and review of the final budget.
Collaborates with the in-house sponsorship team to ensure that the conference will support requirements outlined in letters of agreement.
Collaborates with conference chairs on the call for presentations process with the professional advancement team which is responsible for this process.
Based on input from staff, conference committee and attendee evaluations, provides recommendations for improvement of future events.
Collaborate with the Director of Membership and Chapters and state chapter leaders to manage regional meeting logistics including F&B, A/V, and maintenance of conference websites.
Creates transparent, accurate and collaborative files.
Reviews event bills for accuracy and approves payment.
Ensures that websites for all events are up to date with current information.
Collaborates with the CEO and Conference Chairs to identify keynote speakers and define high level conference features.
Recruits and trains volunteers to work at the Conference and/or other events.
Oversees planning and logistics for Board of Directors meetings, CTO Forums and Feedback Focus Forums.
Works closely with external vendors to support both the annual conference and an annual auction.
Supervises conference team members.
Other duties as assigned.
Qualifications
Four Year Degree is required.
Certified Meeting Planner designation is preferred.
Minimum ten years of experience in planning meetings for 1,000+ attendees.
Proven ability to effectively plan events from beginning to end
Proven and exceptional negotiating and conflict-resolution skills
Strong organizational skills and ability to prioritize workload
Excellent oral and written communication, and interpersonal skills
Ability to function well independently and in a professional manner
Experience with an Association Management system is preferred.
Experience managing budgets and expenditures of more than $800,000.
Detail oriented, dependable and flexible with initiative and capacity to handle a complexity of tasks simultaneously.
Excellent computer skills, including familiarity of both association management databases, as well as standard office productivity applications (MS Word, Excel, PowerPoint, Outlook, WordPress)
Occasional travel required.
Supervisory experience is required.
Position collaborates with all staff and reports to the Chief Operating Officer.
